Job Description

We are seeking a highly motivated and proactive Management Assistant to join our dynamic team. This diverse and exciting role offers a blend of administrative coordination and management support, working closely with senior leadership to drive business success. As a key member of the team, you will support top-level executives, managing a variety of tasks with precision, flexibility, and professionalism. Key Responsibilities:

  • Efficient Coordination: Manage the flow of emails and documents, ensuring timely follow-up, filing, and prioritization of correspondence for Senior Executives.
  • Administrative Support: Provide comprehensive support for expense reports, update contact lists, organize and coordinate critical information, and manage communication between various stakeholders.
  • Strategic Agenda Management: Organize and maintain the agendas of BPXG members, proactively resolving conflicts, and working alongside other assistants to arrange meetings and sessions.
  • Travel Coordination: Organize worldwide travel for BPXG members, including travel bookings, hotel accommodations, visa arrangements, and other administrative details.
  • Event Management: Plan and coordinate venues, programs, and entertainment for company events.
  • Occasional Presentations: Assist with drafting PowerPoint presentations and Excel documents for business meetings.

Requirements

  • A minimum of 3 years of experience in business administration, including calendar management, travel bookings, and expense tracking.
  • Strong English language skills (both verbal and written); additional language skills are a plus.
  • A Bachelor’s degree in Business Administration or a related field.
  • A proactive, action-oriented mindset, with the ability to manage multiple tasks and collaborate effectively with diverse stakeholders and leadership styles.
  • Diligence, attention to detail, and flexibility in a fast-paced work environment
